At any time, each PO in RetailOps will be in one of ten different statuses. Read the descriptions below to find out what each status means. The statuses below are sorted by stage in PO lifecycle.
-
Incomplete
- The PO has been created but it is still being edited.
- Does not apply to Dropship or JIT POs.
Note: Incomplete POs can not be received against.
-
Open
- Applies only to Dropship or JIT POs.
- The PO is open to accept customer order attachments.
-
Review
- Applies only to Dropship and JIT POs.
- The PO is awaiting manual review and approval prior to submitting to the vendor.
- This status may be manually set by pressing the [Review] button on the PO (this allows you to pad any JIT POs). Or it can be triggered if the vendor is NOT set to Auto Submit Dropship/JIT POs but the Submit date/time for the PO has been reached.
-
Ready
- The PO is ready to be picked up by the auto-sender, which runs every 10 minutes.
- Inline, closeout, and bulkstock POs attain this status after you press either the [Submit PO] button or the [Manually Submitted] button.
- Dropship and JIT POs attain this status if the vendor has been set to Auto Submit Dropship/JIT POs AND the Submit date/time for the PO has been reached.
-
Submitted
- Applies to all POs.
- The PO has been sent to the vendor.
-
Acknowledged
- Applies only to POs sent to API/EDI integrated vendors.
- The PO has been confirmed received by the vendor.
-
Failed
- The PO has not successfully been confirmed/received by the vendor, or failed to send due to an error in the application.
- Please contact RetailOps Support to review any POs in a "Failed" status
-
Receiving
- Applies to all POs.
- At least one item has been received against the PO.
- This could be triggered by using the Receiving Tool in RetailOps or by setting up a 3PL vendor with appropriate RetailOps integration.
-
Complete
- Applies to all POs.
- The PO is no longer eligible to be received against.
- This is most commonly used for bookkeeping purposes.
-
Canceled
- You may cancel the PO at any time. When you do, the PO is effectively dead.
Look to the chart below to see how POs change status during their lifecycles.
