Attributes are the essential characteristics used to describe a product in RetailOps. Before entering product data into RetailOps, you must build out your attributes.
There are several different types of attributes that you may find useful. The attribute type is set in the Associations panel of the Attribute admin tool.
- Order - Order attributes are custom fields on orders to collect extra information. This can be useful for recording coupon codes (channel dependent), referring IP address, or other information you'd like to store at the order level.
- Product - Product level attributes live on the left side of the PIM, and apply to all SKUs in the family. For example- In a product record with Women's t-shirts size XS-XL, size would be considered a SKU level attribute, and "Women's" would be a product level attribute.
- SKU - SKU level attributes live on the right side of the PIM, and apply only to individual SKUs. For example- In a product record with Women's t-shirts size XS-XL, size would be considered a SKU level attribute, and "Women's" would be a product level attribute.
- Purchase Order - Similar to Order Attributes, collect additional information about the purchase order.
Create new attributes
- In the Navigation menu, go to Administration > System Config > Attributes.
- At the top of the Select an attribute pane, press the [Add Attribute] button.
- In the Attribute Detail pane, enter the attribute’s Name.
- Set the input Type for the attribute.
- Number. The attribute's value must be a numerical value; users are restricted from entering non-number characters.
- Price. The attribute's value must be a numerical value; supports tiered pricing structures.
- Text. The attribute’s value must be typed into a text field manually.
- Select. Users must select one option from a drop-down menu.
- Multi Select. Users can select more than one option in a drop-down menu.
- Set the Class, which controls the [Unlock] button in the Product Information Manager (PIM). The [Unlock] button security feature prevents users from accidentally editing existing product data on the SKU side of the PIM.
- Basic. If this option is selected and the attribute is on the SKU side of the PIM, you must hit the [Unlock] button to edit existing data.
- Extended. If this option is selected, you do not need to hit the [Unlock] button.
- Private. This option is no longer supported.
- Set the Display, which controls how the attribute value is displayed in the PIM.
- Value. If selected, the PIM displays only the base value (e.g. “Medium”).
- Context. If selected, the PIM displays the value along with its root groups (e.g. if “Medium” is nested inside “Womens” and “Womens” is nested inside “Shirts,” the PIM displays “Shirts / Womens / Medium”). Read below for more on separating values into groups.
- Set the Status as Active. Press the [Save] button.
Add Values for Select and Multi Select Attributes
If you have created attributes with either Select or Multi Select input types, you must create options that users can choose from in a menu.
- In the Attribute Detail pane, press the [Add Value] button.
- Type in the desired value in the blank field that appears.
- Repeat steps 1 and 2 until all desired values have been entered.
- If you need to modify any values, double-click on the value to edit it.
- If you need to modify the sorting order of the values, click-and-drag the values to the desired positions.
- When you are finished, press the [Save Changes] button.
Separate Values into Different Groups
You may want to separate values into different groups at times. You may have different size options for different types of clothing. Or you may divide product categories into more granular sub-categories.
- Select the folder in which you want to place the new group.
- Press the [Add Group] button. Type in the desired value in the blank field that appears.
- If you need to add a new value into the group, select the group and press the [Add Value] button.
- If you need to move an existing value into the group, click-and-drag the value into the group.
- If you need to add a new group into an existing group, select the existing group and press the [Add Group] button.
- If you need to modify the sorting order of the groups, click-and-drag the groups to the desired positions.
- When you are finished, press the [Save Changes] button.
Edit Associations Settings
The Associations pane allows you to edit various attribute settings.
- Media work
- Allowed. The attribute may be set on product media/images.
- Required, Preferred, and Identifying. Not applicable.
- Order
- Allowed. The attribute may be set on customer orders.
- Required, Preferred, and Identifying. Not applicable.
- PO Item Group
- Allowed. When adding items to a PO, the attribute may be selected in the Autoconfigure menu to create columns based on existing SKUs. Refer to this article for more information on the Autoconfigure feature.
- Required, Preferred, and Identifying. Not applicable.
- Product
- Allowed. The attribute may be set for the product family.
- Required. The attribute MUST be set for the product family to allow any SKUs in the family to turn to Complete status.
- Preferred. If the attribute is blank for a product family, the attribute will default to be displayed on the left-hand family data side of the PIM.
- Identifying. If the product has already been sent to your sales channels, users will need increased access privileges to re-edit the attribute.
- Purchase Order
- Allowed. The attribute may be set on purchase orders.
- Required, Preferred, and Identifying. Not applicable.
- SKU
- Allowed. The attribute may be set for individual SKUs in the product family.
- Required. The attribute MUST be set on SKUs to allow them to turn to Complete status.
- Preferred. If the attribute is blank for a product family, the attribute will default to be displayed on the right-hand SKU Grid side of the PIM.
- Identifying. If the SKU has already been sent to your sales channels, users will need increased access privileges to re-edit the attribute.
Map Alternate Values for Different Markets and Channels
Often, you may need to map alternate values to the default values stored in RetailOps. If you sell products internationally, you may need to translate product categories into different languages. If you sell products across several sales channels, each channel may have slight variances in how to enter color values (for example, “Black” vs. “Blk” vs. “BK” vs. “001”).
The Meta Fields pane allows you to map alternate values to defaults to accommodate for the needs of each market or sales channel.
- In the Meta Fields pane, press the [Add] button.
- Enter a Name for the Meta Field. The name should identify the relevant market or sales channel for the alternate values. Press the [Create] button.
- Select the new meta field. A column for the meta field’s values will appear next to the default values.
- Double-click in any of the meta field value boxes. Enter the desired alternate value for the corresponding default value. Repeat for all values.
- When you’re finished, press the [Save Changes] button.
